Microsoft 365 can become difficult to navigate when every new project creates another team, folder or sharing arrangement. Buying more features will not fix unclear ownership. Start with where information belongs, who needs it and how people will find the current version.
A clear information structure makes the tools you already have more useful.
Organise around how the business works
List the recurring activities your teams perform: delivering projects, managing clients, running finance and publishing company information. Decide which information is shared across the business and which belongs to a specific working group. Microsoft’s SharePoint information architecture guidance is useful background. Your own structure should use terms staff recognise, rather than copying an organisational chart that changes every few months.

Set simple ownership rules
Give shared spaces an owner and a purpose. Define who approves membership, how external collaboration is requested and what happens when a project ends. A small set of consistent rules is easier to maintain than dozens of exceptions. Avoid making one person the only route to important shared content. Ownership should support continuity when someone changes role or leaves the business.
Make the current version obvious
Agree where final documents, working drafts and reference material belong. Explain when to share a link rather than circulate multiple attachments. Use clear names and a sensible amount of structure; elaborate folder trees can be as frustrating as an unorganised collection. Start with a troublesome workflow and demonstrate the improved approach using the real kinds of documents that team handles.
Improve gradually and review adoption
Do not move every file simply to make the environment look tidy. Prioritise active content and high-friction workflows, then plan any migration with permissions and links in mind. Ask staff whether they can find what they need and collaborate without workarounds. Review inactive spaces and ownership periodically. The practical success measure is easier, more dependable work rather than the number of sites created.
