AI tools can be exciting and still require an ordinary business case. Before a broad rollout, choose work that could benefit, understand the information involved and agree how people will review the output. Readiness is as much about governance and habits as it is about purchasing licences.
A useful AI rollout improves a defined workflow without losing control of information or judgement.
Choose a specific problem to improve
Begin with a task people already perform, such as preparing a meeting summary or finding approved reference material. Describe the time spent, the quality required and the consequences of a mistake. Avoid starting with a vague ambition to use AI everywhere. A defined workflow makes it possible to test whether a tool helps and which parts still need human judgement.
Review the information the tool can use
Microsoft documents how Microsoft 365 Copilot works with existing access permissions. That makes a review of shared information and permissions a sensible part of preparation. Check overly broad access, old guest arrangements and content without an owner. Also review the terms and data handling of the particular tool or agent you intend to use. Different AI products should not be assumed to have identical arrangements.

Agree rules for people and output
Explain which information can be used, which tasks need approval and when someone must check the result. Generated content may be incomplete or incorrect. Staff should verify important facts, calculations and references before relying on them. For decisions with significant consequences, define the appropriate human review and specialist involvement. A short policy connected to real examples is more useful than a document nobody can apply.
Pilot and measure before expanding
Select a small group, provide guidance and agree what you will compare. Measure the complete workflow, including the time required to check and correct output. Collect examples of useful results and problems. Review current eligibility, licensing and configuration before committing to a wider rollout. Expand where you have evidence of value and a manageable support process, rather than treating access alone as success.
